1. Overview
Smartraction ("Smartraction," "we," "us") provides software that helps home service businesses ("Business Customers") capture, qualify, and book leads across channels including SMS, voice, web forms, and social messaging. This policy explains what information we collect, how we use and share it, and the choices available to you. It applies to smartraction.com, our dashboard application, and the messaging channels our Business Customers use through our platform.
We act in two roles depending on the data: as the business you're dealing with directly (for example, when you request a demo through this site), and as a data processor on behalf of our Business Customers (for example, when a consumer texts a business that uses Smartraction). If you are a customer or lead of one of our Business Customers, that business's own privacy policy also applies, and you should direct data requests to them first — we assist them in fulfilling those requests.
2. Information we collect
From Business Customers
- Account information: name, business name, email, phone number, and billing details.
- Configuration data: business hours, staff details, service areas, and message templates you set up.
- Usage data: how you interact with the dashboard, for support and product improvement.
From consumers/leads who contact a Business Customer through Smartraction
- Contact details you provide in a conversation: name, phone number, email, and service address.
- The content of messages and calls exchanged with a Business Customer through our platform (SMS, voice, web chat, and connected social/messaging channels).
- Metadata such as message timestamps, channel used, and call duration/outcome.
From visitors to this website
- Information you submit through our demo request form (name, business name, email, phone, trade, and notes).
- We do not currently use third-party advertising or analytics cookies on this site. We use browser session storage only for functional purposes (for example, remembering that you've already seen a popup), which is never shared with third parties.
3. How we use information
- To operate the platform: routing messages and calls, generating automated replies, scheduling appointments, and maintaining conversation history.
- To respond to demo requests and communicate with prospective customers.
- To send transactional messages related to an active conversation or booking (for example, appointment confirmations and missed-call follow-ups) on behalf of a Business Customer.
- To detect fraud, secure our systems, and comply with legal obligations.
- To improve our product, including optional AI-assisted reply features, which only rephrase wording a Business Customer has already approved and never invent prices, facts, or promises.
4. Text messaging (SMS) terms
Opt-in: A consumer opts in to receiving text messages from a Business Customer by texting that business's number first, by submitting a phone number through a Business Customer's intake form or website, or by otherwise providing their number to request contact. Messages sent through Smartraction are conversational and directly related to that inquiry — we do not use this channel for unrelated marketing.
- Message frequency varies based on the conversation and is not a recurring subscription.
- Message and data rates may apply based on your mobile carrier plan.
- Opt-out: reply STOP at any time to a conversation to stop receiving further text messages from that business. You may receive one final confirmation message.
- Help: reply HELP to a conversation for assistance, or contact us at [email protected].
- Carriers are not liable for delayed or undelivered messages.
- We do not sell or share consumer phone numbers or SMS content with third parties for their own marketing purposes.
5. How we share information
We share information with service providers who help us operate the platform, under contracts that limit their use of it to providing services to us:
- Twilio — SMS, voice, and WhatsApp delivery.
- Meta — Facebook Messenger and Instagram DM delivery, where a Business Customer connects those channels.
- Google — Google Business Messages delivery and, where used, calendar/authentication integrations.
- Stripe — billing and payment processing for Business Customer subscriptions.
- OpenAI — optional AI-assisted reply generation, only when a Business Customer has enabled that feature.
- Infrastructure and hosting providers who store and process data on our behalf.
We may also disclose information if required by law, to protect the rights and safety of Smartraction, our customers, or the public, or in connection with a merger, acquisition, or sale of assets.
6. Data security
Each Business Customer's data is isolated using PostgreSQL Row-Level Security in addition to application-layer checks — not just by convention. Sensitive fields such as phone numbers and emails are encrypted at rest. Every inbound webhook event (Twilio, Meta) is signature-verified before it is trusted. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. Data retention
We retain conversation and lead data for as long as a Business Customer's account is active, plus a reasonable period afterward for legal, billing, and backup purposes. A Business Customer can request deletion of their account data, and a consumer can request deletion of their own data by contacting the relevant business directly or by emailing us at [email protected].
8. Your choices and rights
- Opt out of SMS at any time by replying STOP to any conversation.
- Request access to, correction of, or deletion of your personal information by emailing [email protected].
- Depending on where you live (for example, California under the CCPA/CPRA, or the EU/UK under the GDPR), you may have additional rights, including the right to know what data we hold about you and to request its deletion. We will respond to verified requests within the time required by applicable law.
9. Children's privacy
Smartraction is intended for use by businesses and their adult customers. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it.
10. Changes to this policy
We may update this policy from time to time. We will post the revised version here with an updated "Last updated" date. Material changes affecting how we handle text messaging consent will be communicated to Business Customers in advance.
Questions about this policy or your data can be sent to [email protected].
